The Golf Administration Supervisor will oversee and manage the golf operations office and work cooperatively with Golf Professionals and Golf Supervisors. Will promote an exceptional “golf experience,” and provide excellent services and programs to all patrons. Will require independent judgment in the disposition of routine matters without direct supervision. Will work under the direct supervision of the Director of Golf Operations.

POSITION SUMMARY

The Golf Administration Supervisor will oversee and manage the golf operations office and work cooperatively with Golf Professionals and Golf Supervisors. Will promote an exceptional “golf experience,” and provide excellent services and programs to all patrons. Will require independent judgment in the disposition of routine matters without direct supervision. Will work under the direct supervision of the Director of Golf Operations.

REQUIREMENTS, ESSENTIAL DUTIES AND RESPONSIBILITIES  

The essential functions include, but are not limited to the following: 

Provides support for the department. In addition to other duties as assigned, will oversee the reservation system and POS system. Track and verify all players and guests, tournament fees, handicap fees and other charges necessary and facilitate accurate accounting and recordkeeping. Manage an innovative tournament program, Men’s association, lady’s associations, charity outing and leagues that service all member segments. Oversee the administration of the handicap program. Maintain close working relationships with the golf course managers and other department heads. Assist in marketing and promotion of tournament play. Assist in the publication of newsletters, informational and promotional materials. Attend Staff meetings as scheduled by management. Update and maintain golf shop policies and procedures. Work closely with and provide guidance and consultation with all golf committees and groups. Adhere to, enforce, and implement policies and procedures of the facility. Setup regular written communications with supervisors to include facility on programming, staff and customer updates. Coordinate plans with the clubhouse manager for beverage and room rentals on tournament functions. Post all results, pairings, daily group sheets and monthly calendars to the website

  • Schedules tee times, maintenance, and tournaments.

  • Sets up tournaments in Tournament software.

  • Collects money for handicaps and tournaments.

  • Works with accounting on daily pro shop totals.

  • Works with associations on pairings and scorecards.

  • Records scores for associations and groups.

  • Posts pairings and results to the website.

  • Reviews news release and publications for the golf shops.

  • Records, tracks, and maintains group play.

  • Maintains records of tournament play.

  • Oversees all price changes in POS system.

  • Oversees any changes to the POS system.

Minimum Qualifications (Knowledge, Skills, and Abilities) 

  • Must have a High School education or up to 2 years of related experience or training; or equivalent combination of education and experience.

  • Experienced in written and oral business communications, Experience with Microsoft word, Excel, Email, internet, tournament, and POS software.

  • Must have fundamental knowledge of the game of golf, golf facility operations and tournament operations.

  • Fundamental supervisory practices and principles.

  • Act as a role model for all employees by demonstrating the behavior and work ethic expected of all employees. 

  • Strong organizational, planning and prioritization skills. 

  • Work requires continual attention to details and the ability of multitasking.

  • Must exhibit excellence in Customer Service with all customers.

SUPERVISORY RESPONSIBILITIES

The Golf Admin Supervisor oversees several of the Account Clerk 1 employees.

Physical Demands and Work Environment

While performing the duties of this job, the employee is not regularly required to sit.  The employee is frequently required to use hands to finger, handle, or feel. The employee is required to stand, walk; reach with hands and arms and talk or hear. The employee must occasionally lift and/or move up to 25 pounds. Greater than 50 pounds may require a team lift. Specific vision abilities required by this job include close vision and ability to adjust focus. Specific required movements include the following: trunk-bend, twist, rotate, push, pull, and carry, arm’s reach, and leg-lifts. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
